Privacy Statement

PSfm B.V., with registered offices in Amstelveen, (hereinafter PSfm) is a full-service field marketing agency for boosting sales, brand experience and the visibility of products and services. PSfm takes privacy very seriously, as well as the handling of personal data and the protection of those data. PSfm complies with applicable legislation and regulations when doing so. This privacy statement clarifies how we handle the personal data that we obtain.

Collection and purposes of processing personal data

Application process

If you submit an application via our website or by e-mail, we will process the following data:

  • Surname, first name, telephone number and e-mail address;
  • Personal data in the CV document;
  • Personal data on the application form.

 

We use these data for the following purposes:

  • To build up and maintain a qualitative database of candidates for as long as the applicant consents to this, for the  purpose of filling current and future vacancies available at PSfm;
  • To assess a candidate’s suitability for a vacancy;
  • To contact a candidate;
  • To create a digital file for the candidate;
  • To send to our customer for the purpose of assessing the candidate’s suitability for work and services to be carried out by PSfm for the customer.

Recruitment process

We process the following data relating to employees with whom we have concluded an employment contract:

  • Name and address details, date of birth, e-mail address and telephone number;
  • CV including personal details, education and training, skills and work history;
  • The application form completed by the candidate;
  • The results of the pre-employment assessment;
  • A copy of the employee’s passport;
  • A signed income tax return.

 

We use these data for the following purposes:

  • To implement an employment contract and carry out complete, precise and effective personnel administration and personnel policy, taking account of the requirements set by the Tax and Customs Administration, accountant and legislation;
  • To assess a candidate’s suitability for a vacancy;
  • To contact a candidate;
  • To create a digital file for the candidate;
  • To carry out pre-employment screenings;
  • To send to our customer for the purpose of assessing the candidate’s suitability for work and services to be carried out by PSfm for the customer;
  • To draw up reports and analyses.

Other purposes of processing personal data:

  • To send out newsletters and information on PSfm;
  • To prepare and implement agreements with (potential) customers, contractors, suppliers and other third parties;
  • To evaluate and improve the services we provide.

Bases for processing personal data:

PSfm applies the following bases:

  • Consent;
  • The preparation and conclusion of an agreement;
  • A legitimate interest
  • Legal obligation

 

If the basis for the processing of personal data is consent, that consent may be withdrawn at any time. We require certain personal data in order to be able to conclude an agreement with you. If those data are not provided, we will not be able to conclude an agreement with you. In any case, the following are regarded as justified interests: the provision of training programmes, the assessment of results, evaluation and monitoring of activities and the service provided, the settlement of a dispute and direct marketing.

 

Website visitors

PSfm wants a website that is easy to use. In order to ensure that, we analyse browsing behaviour on the website which enables us to optimise and update the website more effectively. PSfm monitors the behaviour of visitors to our website.

Cookies

We use cookies on our website. A cookie is a small text file which is transmitted by a page of a website and which your browser saves to the hard drive of your computer, tablet or mobile. For more information on our cookie policy, see the PSfm cookie policy on our website.

 

Sharing personal data with third parties

PSfm will only grant access to personal data within PSfm to employees for whom it is necessary to have access to such data in order to perform their duties. Those employees will treat those data as confidential.

 

PSfm shares personal data with its customers based on the agreement that PSfm has concluded with them. For example, if PSfm deploys employees for sales and promotional activities, merchandising activities or an event organised by the customer.

 

PSfm shares personal data with third parties as part of training and e-learning programmes, the implementation of the employment contract or based on a statutory obligation or extrajudicial or judicial proceedings, for example.

 

PSfm deploys third parties to process personal data on behalf of PSfm such as payroll administration, website hosting and IT systems. PSfm concludes processing agreements with all processors of personal data.

Retention of personal data

Retention of personal data

PSfm will not retain personal data for longer than is necessary for the purposes for which they are to be processed and applies the following retention periods:

  • Four weeks after the end of an application procedure unless express consent is provided for the data to be retained for a period of one year. That period may always be extended for one year with consent:
  • Two years after the end of an employment contract, unless a longer or shorter retention period applies as laid down by law;
  • 10 years after the end of the latest commercial contract with a customer or a supplier or another third party;
  • Please refer to the cookie policy of PSfm for the retention periods for cookies;
  • If the basis is consent, we will not retain your personal data for longer than is necessary for the purpose in question and we will delete your data if consent is withdrawn.

Viewing, adjusting or deleting data

You have the right to submit a request and to obtain information on whether or not PSfm processes your personal data. You can submit a request to view your personal data, or have your personal data corrected or deleted.

Restriction, objection and transfer

In addition, under certain circumstances you have the right to submit a request asking to restrict the processing of your data or to object to the processing of your personal data by PSfm. You also have the right to data portability. That means that you can submit a request for us to send the personal data we hold on you in a computer file to you or another organisation specified by you.

 

In order for us to verify that the request relates to your personal data, we would ask you to send us a copy of your proof of identity along with the request. In this copy, black out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and citizen service number (BSN) in order to protect your privacy. We will respond to your request as soon as possible, but at the latest within four weeks. If we are unable to respond within that period of time, we will let you know.

If you have a complaint regarding the way we process your personal data, we would appreciate it if you could let us know so that we can work together to find a suitable solution. You can also do this by sending an e-mail to the above e-mail address.

 

You have the right to submit a complaint regarding the processing of personal data by PSfm to the Dutch Data Protection Authority.
